Camera-ready Paper Preparation Guidelines (Deadline: August 25th, 2006)

Detailed Instructions (link to simple instructions)

It is important that you follow these instructions closely. If your submission does not conform to the guidelines, it will be returned to you for amendment. If you are unable to update your paper in time to meet the publication deadline, it will not be published.

All conference articles submitted to CIS 2006 will be included in IEEE Xplore. These articles must adhere to the IEEE Xplore PDF specification for compatibility. CIS 2006 has registered for use of a new IEEE tool: IEEE PDF eXpress ™. IEEE PDF eXpress is a free service to IEEE conferences, allowing authors to make IEEE Xplore-compatible PDFs (Conversion function) or to check PDFs that authors have made themselves for IEEE Xplore compatibility (PDF Check function).

Step 1. Prepare your final manuscript using the IEEE two-column format. Please follow the templates which can be downloaded here:

The maximum length for "extended papers" is 6 pages.
The maximum length for "regular papers" is 4 pages.

Step 2. Proofread and check layout of manuscript.

Step 3. Create an IEEE PDF eXpress account.

Log on to IEEE PDF eXpress (http://216.228.1.34/pdfexpress/log.asp) using the Conference ID: cis06

First-time users: Previous users, but using it the first time for CIS 2006: Returning users:
Click “New Users - Click Here”. Enter cis06 for the Conference ID, your email address, and enter the password you used for your old account. Enter cis06 for the Conference ID, email address and password.
Enter cis06 for the Conference ID, your email address, and choose a new password. Continue to enter information as prompted. When you click “Login”, you’ll receive an error saying you need to set up an account. Simply click “Continue”. By entering your previously used email address and password combination, you will enable your old account for access to cis06.
You will receive online and email confirmation of successful account setup. Check that the contact information is still valid, and click “Submit”.
You will receive online and email confirmation of successful account setup.

Step 4. Upload source file(s) for Conversion; and/or PDF(s) for Checking

  • For each conference paper, click “Create New Title”.
  • Enter identifying text (i.e., Title) for the paper
  • Click “Submit PDF for Checking” (if you've created the pdf yourself) or “Submit Source Files for Conversion” (if you're submitting Word Document or Latex files)
  • Indicate platform, source file type (if applicable), click Browse and navigate to file, and click “Upload File”. You will receive online and email confirmation of successful upload
  • You will receive an email with your Checked PDF or IEEE PDF eXpress-converted PDF attached. If you submitted a PDF for Checking, the email will show if your file passed or failed.

Step 5. Receive IEEE Xplore-compatible PDF(s). After successful checking or conversion (which may take some time), you'll have a PDF file with a filename PIDxxxxx. Please DO NOT rename this file.

Options (choose one) If the PDF submitted fails the PDF check: If you are not satisfied with the IEEE PDF eXpress-converted PDF: If the PDF submitted passed the PDF Check, and you are satisfied with your IEEE PDF eXpress-converted PDF:
Option 1 Submit your source file for conversion by clicking Try again, then Submit Source Files for Conversion. Resubmit your source file with corrections (Try again, then Submit Source Files for Conversion) End of the submission process: Submit your IEEE eXplore-compatible PDF. Once you have converted your file using PDF eXpressTM, your PDF file will have a filename PIDxxxxx. Please DO NOT rename this file.
Option 2 Read the PDF Check report, then click “The PDF Check Report” in the sidebar to get information on possible solutions Submit a PDF by clicking Try again, then Submit PDF for Checking
Option 3 “Request Technical Help” through your account “Request a Manual Conversion” through your account

IEEE PDF eXpress converts the following file types to PDF:

  • Rich Text Format
  • Freelance
  • (La)TeX (DVI and all support files required)*
  • PageMaker
  • FrameMaker
  • QuarkXpress*
  • Word Pro
  • Microsoft Word
  • WordPerfect

*For documents created in formats that do not embed source files, include all support files with the final manuscript in a folder. Put this folder in a compressed archive for submission. If it is possible to embed images in the source document, you should do so to avoid potential issues, such as missing graphics.

IMPORTANT: A DVI (DeVice Independent file) is required for LaTeX conversions, in addition to all associated image files. Make sure that your LaTeX system can output a DVI, otherwise it cannot be converted. Be sure also to check that your images are properly referenced, and that DVI can handle the image file types used (DVI does not handle some newer image types, such as *.png).

Step 6. In order to publish your paper in the proceedings, we require the manuscript itself and a signed copyright form. You can download the form from this page. The copyright form should be completed, signed, and scanned as an image file.

Step 7. Submit a compressed file named paperID.zip or paperID.rar (e.g., if your paper ID is: AP123456, the compressed file name should be: AP123456.zip or AP123456.rar) consisting of the following three files:

  1. The final IEEE Xplore-compatible PDF created by IEEE PDF Express (PIDxxxxx.pdf)
  2. Your source files, including all figure files (named as PIDxxxxx.doc for MS word file or PIDxxxxx.tex for latex file, etc, where the PIDxxxxx must be the same as PIDxxxxx in PIDxxxxx.pdf generated by IEEE PDF Express. You can use your defined file names for your figures).
  3. The completed and signed copyright form (scanned as an image file).
The compressed file should be submitted through the online system at http://210.27.5.143/cis/crp/
